Minutes of the Bharati Annual Meeting

It was a pleasure to see so many of you coming over to attend the Bharati annual meeting 2023-2024 on June 5th. Please see the minutes of the meeting below.

The meeting started at 5.30 PM on June 5th, 2023, at Nasir’s Sukhumvit Soi -13, thanking all volunteers of Bharati for the successful completion of the year 2022-2023. We had more than 30 attendees yesterday at the meeting.

The finance team updated 2022-2023 income and expenses for the entire year for Bharati. There was a shortfall of THB 10,000. Bharati currently has 64 members with 4 new members joining at the beginning of this year with a total headcount of 166. Seeing the trend, they projected that the current year membership will remain at 60+ families approximately. The Treasurer summarized the proposed income and expense for 2023-24 covering the Bharati functions and activities.

Following decisions were taken during the meeting:

1. Considering the substantial increase in costs for all commodities, it was decided to increase the membership fees to THB 10,000 for family members. Single membership will increase to THB 5000 as well.
2. All members are requested to arrange for sponsorships to the best of their ability.
3. The new members who paid their contribution in January this year are required to pay only the difference of baht 2,000 only.
4. The bank account for Bharati will remain the same and we request members to pay their contribution for 2023-2024 into the account (Kasikorn Bank–059-8-21617-7. Account Holder’s Name – Jay Shankar Mukherjee).
5. To ensure minimal wastage of food, members will be required to register each day on a portal to indicate their requirement of coupons for lunch and dinner.
6. There will be spot collections and sale of food coupons in limited quantity for each day as well.
7. All sub-committees need to manage their program end-to-end and within their budgets given by finance committee. This would include, booking of venue, food arrangements, decoration, mike/ lighting, maid services and any other. 
8. If any committee fails to manage their event within the given budget, they should be able to arrange sponsorship for the event or collect additional collection from attending members.
9. All members are requested to help the committee as without your support no programs can be successful. Alternatively, committee members are also encouraged to seek help from others whenever and wherever required.
10. The new website of Bharati was shown during the meeting and members appreciated the hard work done by Sourjya Sen & Shrimoyee Mukherjee. Further changes were suggested by the members and noted by Shrimoyee and Sourjya. Following decisions were taken related to website
    1. Amitabh Mukherjee’s number to be added on the website along with the existing number of Jay Shankar Mukherjee.
    2. No bank account to be shown on the website.
    3. For daily attendance and Food coupon members can go to website and generate QR code.
    4. Kakoli Majumdar will work on blogs for the website.
    5. Sourjya Sen, Manish Gupta & Shrimoyee Mukherjee will work on increasing the reach of the website in the international community globally.
